Two pieces of furniture can look identical in a showroom and diverge completely after three years of use. The difference is almost always in materials and construction rather than in form.

This is a plain-language guide to the choices that matter most.

Panel substrates

Most desks, storage units and casework are built from an engineered panel with a surface applied to it. The substrate determines strength, weight, how well it holds a fastener and how it behaves around moisture.

Denser substrates hold screws and fittings better, which matters anywhere a component will be removed and refitted — adjustable shelves, door hinges, and anything designed to be dismantled and moved. Lower-density panels are lighter and cheaper but tend to loosen at fixing points over repeated cycles.

Thickness matters for spans. A shelf that is adequate at short spans will sag at longer ones under the same load, and sagging is permanent. If a shelf will carry files rather than ornaments, either shorten the span or increase the thickness.

Moisture behaviour is the other consideration. Standard panels swell irreversibly when water penetrates an unsealed edge — which is why edges matter as much as faces.

Surfaces

The surface layer does the work of resisting scratching, staining and daily wiping.

Laminates are the workhorse for commercial furniture: hard, consistent and available in a wide range of appearances. Thicker, denser laminates resist impact and wear better than thinner ones. Textured surfaces hide fine scratching better than high-gloss ones, which show every mark under raking light.

Veneers give genuine timber grain and can be refinished, but need more care and respond to sunlight and humidity. Painted and powder-coated surfaces suit metal well.

The practical question is not which surface is best but which failure mode you can live with. Gloss looks superb and shows everything. Texture is forgiving and reads less formal. Choose per zone rather than applying one answer everywhere.

Edges are where furniture fails first

If you take one thing from this article: examine the edges.

The edge of a panel is the most exposed part of the piece. It takes the impact from chairs, trolleys and vacuum cleaners, and it is the route by which moisture reaches the substrate. A well-bonded, appropriately thick edge is one of the highest-value details in the whole specification.

Thicker edge bands survive impact that thinner ones chip. The bond matters as much as the material — a poorly bonded edge lifts at a corner and then peels. On any piece that will be moved regularly or sits in a circulation route, specify the more robust edge treatment; it costs little and prevents the most visible form of ageing.

Radiused edges are also easier to clean and more comfortable to rest a forearm against.

Metal and coatings

Metal appears in frames, legs, understructures and storage. The two questions are the gauge and the coating.

Gauge determines stiffness. A frame in thin material can be perfectly strong and still feel flexible, and perceived quality tracks stiffness closely — a desk that moves slightly when leant on reads as cheap even if it is structurally fine.

Coating determines corrosion resistance and appearance. Powder coating gives a hard, even finish that tolerates handling well. Surface preparation before coating matters more than the coating itself: a well-prepared substrate holds its coating for years, a poorly prepared one blisters at edges regardless of what was sprayed on.

For anything in a humid environment or subject to frequent wet cleaning, ask specifically about preparation and about how cut edges and weld points are treated, since those are where corrosion begins.

Upholstery

Upholstery choices are driven by the intensity of use and the cleaning regime.

Abrasion resistance is the standard measure of how a fabric survives repeated contact — higher figures suit heavier use. But in most commercial settings, cleanability determines the real lifespan. A fabric that resists abrasion beautifully and stains permanently will be replaced long before it wears out.

Consider whether spills are likely, whether the cleaning agents used are aggressive, and whether covers can be replaced without replacing the chair. Wipeable surfaces suit clinical and food-adjacent settings. Woven fabrics are more comfortable over long sitting periods and more forgiving acoustically.

Seat foam deserves a question too: density determines how long a seat holds its shape. A low-density foam feels soft initially and flattens.

Hardware

Hinges, runners, castors, handles and levelling feet are cycled thousands of times and are the components most likely to fail in normal service.

Drawer runners carry real weight, particularly in filing applications — ask about the rated load and whether the runner is full-extension, since a partial-extension runner makes the back of a deep drawer effectively unusable. Hinges should hold adjustment. Levelling feet matter more than people expect, because almost no floor is truly flat and an unlevelled unit racks its own frame over time.

The availability question applies here too: hardware is what you will want to replace.

How to compare two quotations

When two prices differ substantially, the difference is usually in details that no photograph shows. Ask each supplier the same specific questions:

  1. What is the substrate and its thickness?
  2. What is the edge material and its thickness, and how is it bonded?
  3. What is the metal gauge, and how is it prepared before coating?
  4. What is the rated load on the drawer runners, and are they full extension?
  5. Which components can be replaced in service, and for how long will they be available?

Answers to those five questions explain most price gaps, and they turn an unfair comparison into a fair one.
